Facility Use and Rental Policy

Business Hours
Regular business hours are Monday and Friday 8:00AM - 3:00PM; Tuesday, Wednesday, and Thursday 8:00AM - 4:00PM. The Senior Center is open extended hours throughout the year on various evenings to accommodate Senior Center/Council on Aging sponsored programs.

If Senior Center programs are cancelled due to inclement weather, this information will be communicated through radio stations WTAG AM-580 and WSRS 96.1-FM. However, the office will remain open to assist residents unless the Town Manager closes all town buildings.

Senior Center Use Request and Agreement Form
This Request Form must be completed and submitted to the Senior Center/Council on Aging office by organizations and individuals who seek space for:
  • A regularly scheduled on-going meeting (weekly or monthly)
  • Modification of a scheduled meeting
  • Any one-time use
Please note that restrictions on the use of equipment, sharing of space and compromises between competing program activities may be required. All activities and programs provided for seniors must be approved by the Director of the Senior Center/Elder Affairs. The Senior Center staff reserves the right to prioritize use of the building in the event of two conflicting events.

A. Activities for seniors which charge registration fees, other than Senior Center/Elder Affairs and Council on Aging activities, will receive approval from and develop their schedules with the Senior Center staff.

B. Recognized not-for-profit senior organizations, which meet for educational, recreational, social or civic purposes (such as Friends of Auburn Senior Center Association) can submit a Request Form to the Senior Center office to use available meeting space without a fee. Each organization applying for use of the facility without a fee will make available to the Director of the Senior Center/Elder Affairs annually a copy of their by-laws, the names and addresses of elected officers, statement of membership dues, etc.

C. Other recognized not-for-profit Auburn organizations which meet for educational, recreational, social or civic purposes that are not senior related may request use of the Senior Center without a fee during regular operating hours or during the hours when the Senior Center is open for Senior Centersponsored programming. Recognized not-for-profit Auburn organizations may use the Senior Center when the Senior Center is closed during weekday evenings or weekends at a reduced rate as established by the Town Manager (see Facility Rental Fee Structure) if a member of the organization, with prior approval from the Senior Center Director, agrees to open and close the facility. Such member must sign the appropriate waiver/liability forms and pick up and return the key to the Fire Station. To apply for either the fee waiver or the reduced fee, these organizations must submit a completed Request Form to the Senior Center office. Not-for-profit organizations must provide proof of non-profit status to the Senior Center staff. Their contributions and those of their members to the Auburn Senior Center's Donation Account that supports senior activities and programming would be most appreciated.

D. Other recognized not-for-profit organizations which meet for educational, recreational, social or civic purposes that are not senior related may request use of the Senior Center outside of regular operating hours (late afternoons, evenings and weekends) at the rate established by the Town Manager by submitting a completed Request Form to the Senior Center office. The fee charged covers the costs incurred by the Town to open, operate, clean and provide certain supplies/equipment in support of the event. Not-for-profit organizations must provide proof of non-profit status to the Senior Center staff.

F. Private individuals or for-profit organizations may request use of the Senior Center outside of regular operating hours (late afternoons, evenings and weekends) at the rate established by the Town Manager by submitting a completed Request Form to the Senior Center office. The fee charged covers the costs incurred by the Town to open, clean and provide certain supplies/equipment in support of the rental event. A certificate of insurance may be required by the Town for use of the facility.

Senior Center/Elder Affairs and Council on Aging services, programs and activities will have priority, based on the monthly schedule and space availability established by the Senior Center/Elder Affairs Director.

Other governmental and municipal purposes may need to be scheduled at the Senior Center as requested by the Town Manager or the Board of Selectmen which may supersede Senior Center scheduling if necessary.

All groups that use the Senior Center will be responsible for setting up and breaking down any equipment, Town-owned or other, and cleaning up after themselves. Care and attention to Senior Center furnishings by the users is expected.

No alcohol is allowed on the premises.

Facility Rental Fee Structure
Effective October 15, 2011

The following fees will be charged to those organizations, individuals or organizers of an event not sponsored by the Senior Center/Council on Aging or those not exempted per the policy herein:

Hours facility is available for use:
  • Mondays-Fridays 8:00 AM - 4:00 PM (Senior Programs take priority; other uses subject to approval of Senior Center Director.)
  • Weekdays: Mondays & Fridays 3:00 PM - 10:00 PM; Tuesdays, Wednesdays & Thursdays 4:00 PM - 10:00 PM
  • Weekends: Saturdays & Sundays 8:00 AM - 10:00 PM
Fees:
Not-for-Profit Auburn Senior Organizations (including Friends of Auburn Senior Center Association)
No fee.

Not-for-Profit Auburn Organizations:
If facility is used during regular Senior Center operating hours: No fee.
If facility is used during weekday evenings and the organization opens and closes facility: $20 with a 3 hour maximum; $25 with use of the kitchen.
If facility is used during the weekend and the organization opens and closes facility: $70 without use of kitchen; $90.00 with use of kitchen.

If organization needs the Town to open and close the facility, the Not-For-Profit Organization Fees below apply.

All other Not-For-Profit Organizations:
$125 for 6 hours; $175 for a full day if kitchen use is not requested.
$150 for 6 hours; $200 for a full day if kitchen use is requested.

A $50 Deposit is required to be provided 2 weeks prior to the event date. The Town will provide a staff person or custodian on site to open and close the facility.

For-Profit Organizations and Individuals:
$300.00 for 4 hours, $45 per additional hour, if kitchen use is requested
$275.00 for 4 hours, $45 per additional hour, if kitchen use is not requested.

A $100 Deposit is required to be provided 2 weeks prior to the event date. The Town will provide a staff person or custodian on site to open and close the facility. A certificate of insurance may be required.
